I have an idea that we can make a board of trustees of previous post holders of spws. their job would be to help us in donations and finding sponsors. moreover they can also order us and make plans of different welfare activities and our job would be to carry out implementation of their plans. We ourselves can also make plans and then work on it after getting their approval form Board Of Trustees. If any cabinet or any member or post holder of society works on any welfare plan not approved by the Board of Trustees, he would himself have to arrange donations for his that plan and wont be supported by the Board Of Trustees. Moreover a cabinet wont be given funds by the Board of Trustees if it does not give its audit report (showing their credibility) to the Board of Trustees. If any member requests for funds first he must provide a complete cost estimation of that welfare project, he must prove his credibility and worth of his project. What do you people say about this new way of running spws!!!

what i think! it should be an integral part but it should not be whole in whole responsible for funds. Atleast the cabinet must do something themselves. we, the previous post holders are always there for the guidance and support. any proect that should be aproved by executive body members and especially the president. any kind of help, most welcome any time!

i think its a good idea to have a board of trustees and advisories.. to look over things and be there on a more conistent basis.. and supervise the funds and check the credit reports ..... but the autonmy of the president and his team should not be taken away.. they should still take the lead in designing and implementing the projects.. allocating funds.. Its also a strong part of ur learning and that should not be taken away at any cost.. the seniors will always be there to help u, assist u and supervise u..(if I may be allowed to speak on their behalf) and probably come down on u like a hawk if u go astray..(just speaking figuritively....!!!... u know why i have a repute now of making my medical students cry!!)... but the SPWS is urs and we are proud of the work u r doing...and dont want to get in the way of ur experience as a team.. coz thats what i cherished most abt working for spws...!

ONLY THING DONOT LIMIT BOARD OF TRUSTEES TO PAST PRESEDENTS . AS THIS SPWS BELONG TO EVERY MEMBER AND AS PAST MEMBER OR PRESEDENT ANY ONE SHOULD BE ABLE BECOME MEMBER OF BOARD OF TRUSTEE ONCE FULFILL CRITEREA LIKE MEMBERSHIPFEE /DONATION AND DID HAVE STRONGER RULE PREVIOUSLY IN SPWS. THERE IS REMOTE POSSIBLITY THAT SOME PAST PRESEDENT MAY BE EFFEICENT ENOUGH OR HAVE NOT DONE GOOD FOR SPWS AND MAY NOT BE INTERESTED NOW. YOU NEED TO LOOK FOR INTERESTED AND PEOPLE WHO WANT TO PARTICIPATE AND ACTIVELY INVOLE . MOTIVE SHOULD BE NON POLITICAL.

100% right rizwan bhai!!! bhai we are not at all restricting board of trustess to previous presidents but every previous dedicated member is invited........... as far as interested and dedicated people are concerned, we are getting a lot of them e.g nadeem butt bhai, rizwan basharat bhai, zara baji, shahzad khan bhai etc etc.

it should be like senate and national assembly. we should make projects discuss and approve it. then board should modify or rather guide us. we know the ground feasibility & they have more experience. IT MUST BE LIKE "DIVISION OF POWERS"

i see society in two parts good work and ur own training
my only worry is that if a board is made, it should not stop u from taking lead. I always tell umar that we are a workers for him and his cabinet (off course not really ;)as they need to tell us where they needs our help rather than we telling him waht to do. as far ur board does not take that discretion away, i am ok.
off guidance would be there,no question about that.
i think role of board, if any, should be a fair check and balance. borad will make sure that annual audit happens and board will review it yearly. one cabinet might not be as skilled, lucky or in favourable condition as others and i appreciate that. however the if umar tells me that he, himself or anyother member is using society money to pay cantene bill(in or out of the office) then its some thing where either president on board should jump in. i might sound cynical but we have not lost TVs, VCRs and other things for nothing. No one can guarrantee how next cabinet will behave but when ever a hard working cabinet comes they must not face allegation of fraud by past cabinet. and if donors are sending money some good purpose,then they have right to know where its been spent.
u will have renew consitution for that and if u do that, try to restrict role of board to these grave matters only that we might face.
it might sound look making thing tighter for next cabinet but i think it might be better as it will allow more creative and focussed work with contribution of far more people and huge out put inshallah.
umar, you and your team have taken a huge reponsibility of an institution building. bravo.
also as rizwan bhai said, dont limit it to presidents but do limit the number and duration if possible. i am not sure what kind of election or selection criteria u would do but election might not be a bad idea.
furqan thanks for making us senator/s but if u make me member of that,i will prefer house of lords ... lord rizwan, lord butt ...not a bad idea!
or lord zara (sorry hang on a sec... cant be lord for zara, should be some other word.. sorry i cant remember)

hats off to nadeem bhai for his great suggestions! not even a single vote has been casted against it, so now we would establish a board of trustess well now when we have decided that we are going to make board of trustees now let us define its powers, its job, its posts, its limitations and selection criteria of this board of trustees!

Following would be the jobs of board of trustees 1. to help and guide us. Any member of board of trustee must visit this forum at least once a week to have look on things going on. 2. to keep a check on the cabinet, making sure the donations are going at the right place. There should be two audits per year one after 5-7 months of new cabinet and the other before handing over to the next cabinet. The finance secretary is responsible for presenting the annual audit report to the board of trustees. 3. to help us in donations and finding sponsors for different events 4. to make sure the society assets are used in the right way for right purposes by keeping a check on society’s assets after every 3 months. The president should present a documentation showing list of all the belongings of the society after every 3 months and he must provide reasons for anything lost, misused or stolen assets and on the other hand, he should also inform board of trustees about the new additions in the society’s assets. 5. to help, guide and support the cabinet whenever and wherever they need their help.
its powers plan making, leading and autonomy would always be with cabinet but it can definitely take suggestions from board of trustees!
1. If board of trustees is not satisfied with any cabinet or any post-holder of cabinet, they can either stop giving donations to that cabinet or even dismiss it, if needed. 2. If board of trustees has doubts on credibility and honesty of any post holder, they can ask the president or any previous post holder to keep a check on him or her and then if found guilty, the board can advise the president to take any action against him or her and if the guilty is president, vice president or general secretary, then the board can take actions against him or her, themselves. 3. If any member or post-holder is found misbehaving with any member of board of trustee then they can make any decision about him or her and there decision would be final.
its limitations
1. Board of trustees cant remove any post holder of society themselves, they have to do it with president’s consent. 2. However if the culprit is president himself then they can dismiss the whole cabinet and then nominate and select a cabinet themselves. 3. No member of board of trustees can use society for his personal jobs or any political actions
its posts and selection criteria
well this is something about which I could not reach any final conclusion! I was just thinking how many members we should have in board of trustees, should there be a fixed no or not! I think there should be three main trustees (Chiefs or….. Lords if u say nadeem bhai) with some posts and the rest can join the board if they are willing. But what should be the selection criteria for these three main trustees and the members! Should there be elections but I am not sure elections is a good option becz in elections ur relations counts a lot and it is not necessary that any one with good relations should be more dedicated and devoted towards society than any one with less public relations.

Most of suggestion are good.
Few suggestion
Umar check with Shukat Khanum Board of trustees and their role or any other NGO .
Board of trustee can not be life member but can be reelected/selected with performance which mainly helping to generate funds . Can be reelected again and again for life .
You have to set some numbers but if you think all trustees are able to give minimum handsome amount then you can increase number as much funding can develop
Funding issue:
if your funds grow then a different check and balance have to maintain.like some special fund only release with approval of cabnet
We had idea at the time of our time that past president and vice presedent and finance sect. should act as supervisor and advisor for the new cabnet for one year in thier final year time before completely pass out and keep eye on the work/character of teams. but due to some political interest/reasons that did not work out.
You can set a criteria of minimum donation to become member of trust. If member is not able to donate but his/her capablities are an assert to SWPS then by the uninmous decision of cabnet and approval of board can be elected.
Make sure board of trustee have some way regular meetings and also functional.
I will write you more suggestion at some other time . let me do a little research

I think your donar list start from home . Try to get list of old members who are settled abroad ask them regular 100-200 $ annual donation.
Board of trustee member should be minimum 1000 $ per year
If even you can have only 10 name on your list you can have handsome amount for SPWS

well umer you r right what i suggested to you in my post, is already a hot topic, i think its a good idea actually a great idea, as i said to you first thing is to dig out all or most names of previous members and i think the best way forward is to contact previous president ( as i can see you r in contact with most of them) ask them the names they think were the dedicated members of there time and contact them individually, i am sure most of them will be willing to help out as all of us has to PAY ZAKAT, KHAIRAT AND OTHER AMOUNT EVERY YEAR AND IF YOU KNOW ITS GONNA USED PROPERLY EVERYONE WILL BE HAPPY TO CONTRIBUTE, i can tell you in my session there were only few hard dedicated members and i have given you there contact detail;i will name them again, Qaiser faheem, amir yousuf, durraiz rehman, afia shareef, AND myself the boys are still in lahore and afia is in karaChi, and i am in Ireland, so thats your 92-93 session, i can give you few more names Dr Hassan Khan and i think he is working as senior reg in surgical department of Mayo hospital and i can tell you that he was among the best and i think if if you can get hold of him that would be good for society

hmm ... debate is on..... waaooo i think its good and important whatever has been document (political statemet?) just couple of things i like to mention...
I will support some level of donation for trustees _ 1000 euros a year is less than 100 euros a month.. like 60 pounds or so a month.. i think its very genuine amount...
about audit umar... its usually done once a year only and that is considered enough...
its a good idea to follow patterns for shaukat khanum... and see how do they work..
